Context
Pomailo is a Bearly in-house product — a tool we first built for ourselves, then opened up to others as a SaaS.
It started with a simple observation: almost every company collects enquiries through contact forms, and every one of those forms sends an email. Once you have more than one site or form — a campaign landing page, the homepage, an offer page, a blog — all those leads pile into a single inbox, mixed in with regular correspondence, invoices and newsletters.
Anyone who actually wants to act on those enquiries — an agency, a freelancer, a small service business, a sales team — needs one place to review the leads, tie each one to the right project and work it. Without rolling out a heavy system and without learning yet another tool from scratch.
Problem
A regular inbox isn’t a place to work leads — it just stores them.
- Leads get buried. A form enquiry looks like every other email. One busy day is enough to push a valuable contact below the fold.
- The context is missing. From the email alone you often can’t tell which site or which form a lead came from. Yet that’s exactly the detail that decides how it should be handled, and by whom.
- Many sources, one heap. The more sites and campaigns you run, the bigger the mess. Enquiries from different projects blur together, and it’s hard to say what came from where.
- Full CRMs are overkill. A full-blown sales platform solves this, but it comes with setup, onboarding and a subscription out of all proportion to the actual need — which is simply “keep form leads under control”.
In short: this isn’t a problem that calls for a big tool. It’s a problem that calls for the right one.
Solution
We built Pomailo around a single idea: form leads in one inbox. Lightweight, not heavyweight.
Instead of bolting features onto yet another CRM, we kept only what you genuinely need to handle email leads:
- A shared inbox for leads from multiple forms. Enquiries from different sites and forms arrive in one place, separate from the rest of your mail.
- Organised by project. Each lead can be assigned to the right project, so you immediately know where it came from and who should pick it up — the context comes back to the lead.
- Worked from a simple CRM. A lead can be categorised and moved through handling without switching between your inbox and a separate system.
The product philosophy is deliberately minimal. Pomailo doesn’t try to be a sales platform or replace a full CRM where one is genuinely needed. It’s meant to do one thing well — sort your form leads and let you act on them before they get lost.
Under the hood it’s an application built on Nuxt 4 on the front end and Node.js with Express on the server — the same proven stack we use across our other products and client projects.

For us, Pomailo is also proof of the approach we bring to client work: we match the scope of a tool to the problem, rather than bending the problem to fit an off-the-shelf, feature-heavy system. Sometimes the best answer isn’t “more” — it’s “exactly as much as you need”.
